The hard part of time recording was never pressing start. It is keeping the habit alive without anyone watching, and the moment measurement depends on willpower, the data develops gaps.

A button, and something that runs without one

Toggl enters through an online timer. The official material files it under time tracking software and capacity planning, with a headline claiming millions of people trust it, which sets the position clearly: supply the time data a team needs for capacity, profitability and project planning. The most common actions collapse into a single click, start, switch task, stop, and records land at the level of client, project and task.

Tellingly, the first item in the official navigation is automatic time tracking rather than the timer itself. That hints at the priority: compared with pressing a button by hand, the bigger problem is filling in the hours that never got recorded. Around that idea the site lists timesheet reports, time reports and analysis, invoicing, leave management and integrations with other tools, a chain that runs from recording all the way to settlement.

Three angles on the same records

Once the hours exist, their value depends on being readable. The product splits reporting into separate angles. A profitability report breaks down by client and project and hands over billable hours together with the margin of each project. A utilisation report answers a different question: what share of total time is billable, and how is the load distributed across people. A time report drops back to detail, listing entries by client, project, task, tag and start or end time.

Those three angles fit three kinds of reader. Managers look at profit and capacity, team leads check whether work is spread evenly, and the person doing the work verifies where the day actually went. The site also condenses the scenarios into four: employee timesheets, billing by the hour, project time tracking and payroll, which is the same set of records reused under different settlement rules.

Two brands becoming one, and the clients

One change deserves explaining. For a long while the product appeared under two separate brands, Toggl Track for timing and Toggl Plan for project planning, which is why plenty of material still calls it Toggl Track. On the current site the headline has returned to a single Toggl, and the description places time tracking and capacity planning side by side. A note at the top adds that existing users of either product keep access and support, with their old sign-in entrances preserved. In other words this is a consolidation of the main brand, not a retirement of products.

Client coverage is equally complete. Four are listed: the Windows build combines timing with project management, the Mac build stresses a native desktop experience, and the iOS and Android builds aim at mobile situations. For anyone who needs to fill in time after the fact, being able to jot an entry on a phone matters more to data completeness than a longer feature list on the desktop.

Recording time does not create more of it, but only recorded time can enter a decision. The value of such a tool is not the second being counted, it is turning scattered actions into numbers that can be questioned.

How to use it well: fix the client and project hierarchy before recording starts, otherwise tidying up later costs more than the recording itself; keep mobile for late entries and quick switches, and the desktop for checking and exporting; and when several people are involved, agree on one recording convention so the same work does not land in different categories for different members.
